Painting Crew Shirt Ordering Checklist

Painting Crew Shirt Ordering Checklist

Confirm painting crew wearers, sizes, roles, quantities, exact products, current business copy, proofs, approvals, and late changes before ordering shirts.

Painting Crew Shirt Ordering Checklist

A reliable painting crew shirt ordering checklist connects each confirmed wearer or reserve purpose to a size source, role, exact product, artwork revision, quantity, and approval status. One owner should freeze the worksheet, manage changes, and reconcile the confirmation instead of rebuilding the order from messages.

Assign ownership and dates

Name the order owner, proof approver, roster owner, product-fact reviewer, change cutoff, and target approval date. Crew members can supply confirmations, but changes flow through the order owner.

Use only necessary employee information. Keep sensitive details out of artwork and shared proof folders.

Build the roster

Create one line per wearer and separate lines for approved reserve stock. Include wearer/stock ID, role, size source, product/variant, color, artwork version, quantity, status, and approver.

Use waiting, confirmed, changed, and removed. Do not fill empty cells with guesses, especially for new hires or changed roles.

Confirm sizes from exact sources

Link to the current size chart for the selected product and record whether it provides body or garment measurements. Attribute any sample observation to product, size, wearer, context, and date.

A label from another product does not establish equivalent fit. One person's preference is not a universal conclusion.

Confirm business copy and roles

Compare company name, logo asset, contact path, service descriptor, and role label with active sources. A shirt title does not establish authority, licensing, certification, training, employment, or site access.

If a role is unresolved, keep the line waiting. Do not order a guessed title to meet a deadline.

Transfer quantity from a documented plan

Use actual wear occasions, availability gaps, and a reason-based reserve. Do not copy a universal quantity from another contractor.

Every unassigned unit needs an eligible size/version group and issue owner. “Miscellaneous extras” may not support a real new hire or replacement.

Build a current product-fact block

Record exact product URL, product/variant, colors, sizes, customization areas, material description, construction, care source, price, availability, ordering rules, stated timing, and review date.

Do not infer comfort, durability, stain behavior, chemical resistance, protection, or suitability from a product title, material, color, or image. Missing facts remain unknown.

Freeze the artwork packet

Include approved front/back proofs, logo asset IDs, business-copy source, role eligibility, product association, approver, and revision. Mark retired proofs inactive.

Check every character, side, orientation, and variant. A correction creates a new revision and resets affected checks.

Control late changes

Put changes after the cutoff into a separate log with requester, reason, affected roster lines, proof/product impact, approver, and resolution. Do not overwrite the frozen worksheet.

If a change is accepted, create a new order revision and reconcile totals again. This preserves an audit trail when staffing or artwork changes near submission.

Verify minimum, price, and timing as live facts

Ask what current rules apply to the exact product, customization, quantity, and destination. Do not repeat free-service, no-minimum, price, timing, availability, or delivery claims without current verification.

Past orders and screenshots are not permanent evidence.

Reconcile the order summary

Group totals by product, variant, color, size, and artwork version. The sum must match confirmed roster and reserve lines. Waiting and removed lines should not enter the final total.

Have a second reviewer reproduce the summary from the frozen worksheet. Resolve mismatches before submission.

Compare the confirmation

Check provider confirmation line by line against product, color, size, quantity, artwork revision, selected sides, price, destination, and stated timing. Record discrepancies and answers.

This is an administrative review, not a guarantee about production or delivery.

Audit exceptions before submission

Filter the worksheet for every line that differs from the core product, color, artwork, role, or quantity rule. For each exception, record the business reason, current source, approver, affected proof, and whether the same exception should remain available at reorder.

Examples include an estimator format, an authorized cabinet-service module, a confirmed new hire with a later start, or a replacement that cannot use the current product. Do not let exceptions hide inside notes or message threads.

Then reconstruct the final total twice: once from the confirmed core lines and once from the exception list. The two subtotals should reconcile with the order summary. If an exception lacks a size source, proof, or current product fact, return it to waiting instead of allowing urgency to bypass review.

Prepare a decision-ready question list

Group unresolved items by owner: employee size confirmation, operations role eligibility, brand copy, designer proof correction, and provider product/order fact. Give each question a due date and the roster lines it blocks.

This lets the order owner advance complete lines without treating unknowns as assumptions. Archive answered questions with the frozen revision so the next reorder has traceable evidence rather than scattered recollections.

Prepare receipt and issue records

Create an expected-item list from the confirmation. When items arrive, reconcile them through the company's normal process and link issue records to the wearer or reserve purpose.

Keep retired business information and invalid role versions out of active stock. Receipt does not replace review of exact care information.
