Use this party rental shirt proof checklist on one exact, dated file. Review version identity, company copy, logo integrity, front and back relationships, original artwork, product/template, roster assignment, sizes, quantities, and documented approval. A correction reopens every affected check; approval applies only to the named version.
Freeze the review inputs
Gather the approved design brief, authoritative logo package, exact copy sheet, current product/template reference, color record, role or service registry, roster worksheet, and proof file.
Record filename, version, received date, intended product, color, requested artwork areas, wearer scope, and provider reference. Name one approval owner and one factual reviewer.
Do not begin from a phone screenshot when a complete proof is available. Keep every comment tied to the same version.
Pass 1: identify the exact version
Confirm the filename and proof header match the review record. Check that front, back, sleeves, and any optional views belong to the same revision.
Reject labels such as “latest,” “new final,” or “final2” when they do not identify a controlled file. Use a version code and date.
If separate image files arrived, list them together and verify that no view came from an older concept.
Pass 2: read every character
Compare text character by character with authoritative sources:
- Company name and capitalization
- Service descriptor
- Phone number or website
- Role label
- Location or service-area wording
- Event, client, or campaign module
- Dates and punctuation
Do not correct from memory. Remove placeholder copy, expired offers, and service claims the business has not approved.
Mark time-limited copy with its effective and retirement dates.
Pass 3: compare the logo and assets
Place the proof beside the approved logo preview and source package. Check proportions, icon-to-wordmark relationship, color version, clear-space intent, and prohibited modifications.
Look for stretching, redrawing, substituted type, added effects, or an unapproved seasonal treatment. Compare mascots, badges, and service graphics with their original approved sources as well.
If an asset adaptation is required, document and approve a controlled version instead of silently changing the master.
Pass 4: review the content hierarchy
Confirm company identity leads, followed by the approved service, contact, role, or event context. Decorative artwork should not turn essential business information into a secondary detail.
Review front and back at the same scale. Each side should have a distinct communication job. Repeated logos or contact lines need a reason.
This is an editorial hierarchy check, not a guaranteed viewing-distance result.
Pass 5: inspect original artwork
Compare badge, mascot, pattern, event cue, and other graphics with the approved concept. Check that customer, client, school, venue, or third-party assets remain within their documented scope.
Flag substituted stock elements or imagery that could resemble a protected character, credential, or competitor mark. The proof should not introduce new assets after concept approval.
Keep technical or operational diagrams outside the shirt art.
Pass 6: reconcile the exact product
Compare the proof and order record with the current listing. Confirm product, variant, color, size range, template, artwork areas, and current commercial information.
Do not infer dimensions or output from a generic mockup. Ask about anything the current source does not define.
Record the live check date. Product facts and availability can change after the design brief was approved.
Pass 7: reconcile wearer versions
Match every artwork variation to an authorized wearer group. Confirm role labels, service modules, seasonal layers, client exceptions, and new-hire assignments against the current registry.
Use the role uniform guide for eligibility. The proof review confirms the mapping; it does not create a new role policy.
Personal names and account layers require exact spelling and current authorization.
Pass 8: compare sizes and quantities separately
The artwork proof may not display every order line. Reconcile product, version, color, size, and quantity against the frozen order worksheet.
Use the party rental ordering checklist to confirm totals from roster rows and verified inventory gaps. A correct grand total can still contain the wrong size or version distribution.
Keep artwork approval and quantity approval as separate signed checks.
Pass 9: inspect a plain presentation
If the proof uses an event scene, dramatic lighting, perspective, or another styled effect, request or prepare an authorized plain view. Compare front and back at matching scale. Confirm that no background treatment hides low separation, cropped artwork, an unintended line break, or a misplaced account module.
Reviewers should describe observable issues and tie them to a source: “service module competes with the company name” or “role line differs from the roster,” not “the design feels wrong.” If the plain view and styled mockup appear to show different artwork versions, stop the review and reconcile the files before commenting further.
Control corrections
Submit one consolidated list with side or view, element, current state, required change, and authoritative source. Avoid parallel message threads.
When a revision arrives, confirm the new version first. Rerun the corrected pass and every dependent pass. Copy changes can alter layout; product changes can alter templates; role changes can alter quantities.
Move rejected proofs outside the active folder.
Document approval precisely
Record proof filename/version, exact product and color, included areas, artwork versions, wearer scope, approval owner, factual reviewer, date, and any unresolved item accepted through the current process.
Do not treat silence, download, or a styled mockup as approval. Save the approved proof with its source package, role registry, and order worksheet.
