A reliable painting shirt proof checklist compares every visible and administrative detail with a named current source. Review copy, artwork, placement, sides, product association, colors, roles, specialty modules, and revision status before approval. Proofing validates the proposed version; it does not decide quantities or guarantee production results.
Freeze the review packet
Collect the exact front and back proofs, authorized logo files, approved business-copy sheet, role rules, specialty modules, product candidate, color name, customization request, revision, and provider notes. Give the packet one review ID and date.
Do not review screenshots from different message threads as if they form one version. Mark earlier proofs superseded so a corrected front cannot be paired accidentally with an old back.
Compare every character with its source
Check the company name, phone number, web path, service descriptor, role label, slogan, punctuation, and capitalization character by character. Use the active website, estimate, brand file, or other named business source.
Reading for meaning is not enough. A familiar company name can hide a transposed letter, and a phone number can look plausible while being wrong. Have a second reviewer repeat the source comparison independently.
The painting shirt information guide owns which content is approved; this pass confirms that the proof uses it exactly.
Verify the artwork asset
Match the proof to the authorized logo, compact mark, badge, mascot, or wordmark file ID. Check proportions, orientation, included words, registered color roles, and any approved one-color treatment.
Reject unofficial redraws, stretched marks, rearranged letters, invented initials, missing logo elements, and specialty art without a source. A visual improvement is still a change that requires brand-owner approval.
Review front and back together
Place both sides beside one another. Confirm that identity, service wording, contact information, role, and specialty cues appear only where intended. Make sure the back does not duplicate or contradict the front.
If the order includes front only or back only, state that explicitly in the packet. Never infer selected sides from a mockup image.
Check placement responsibilities
Confirm that each zone performs the approved job: front identity, back supporting message, and any secondary module. This stage checks the decision already made; it should not reopen business copy or redesign the composition without creating a new revision.
Use the painting logo placement guide when zones are unresolved. Record current customization-area information for the exact product rather than assuming every garment offers the same options.
Reconcile colors by named source
List provider color names, approved brand color references, and any artwork treatment used for the selected shirt color. Do not approve a color only from an uncontrolled screen view or memory.
Record what the proof can and cannot establish. It may show a proposed relationship; it does not guarantee an exact physical appearance. Avoid claims about visibility, stain behavior, comfort, durability, or suitability.
Confirm product association
Link the proof to the exact current product or variant under consideration. Record available sizes and colors, customization areas, material and construction descriptions, care source, price, availability, ordering rules, and stated timing only from current sources.
Keep missing information marked unknown. A product photo, past receipt, title, or another item does not establish the facts for this version.
Audit role and specialty eligibility
For every owner, estimator, lead, painter, apprentice, cabinet, interior, exterior, commercial, or other module, record who qualifies and who approves it. Confirm that the proof does not imply licensing, certification, training, employment status, property access, or authority.
Shared company versions should be labeled separately from restricted role variants. Retired titles and discontinued specialty phrases stay outside the active packet.
Compare all ordered variations
Create a grid by product, color, size group if artwork changes, front/back selection, role, specialty, and artwork revision. Differences should be intentional and documented.
Look for a single outlier: one old number, alternate logo, missing side, wrong role color, or former specialty module. Do not approve variations one at a time without comparing the family.
Inspect artwork boundaries and orientation
Review the provider's presented artwork boundary, orientation, and side labels. Confirm that front is front, back is back, left and right references are not reversed, and artwork does not include hidden draft notes or placeholder copy.
Ask the provider for clarification when a proof does not show enough information. Do not fill a visual gap with assumptions about production setup.
Run an error-state comparison
Maintain a clearly labeled rejection example showing common errors: former logo, misspelled URL, unofficial badge, duplicated contact line, wrong role, missing back, and mismatched revision. Compare the live packet with this error reference.
Keep the rejection example outside production files. Its purpose is to give reviewers a shared vocabulary, not to provide editable artwork.
Record corrections without overwriting
For each correction, note the proof ID, affected side/variant, requested change, source, requester, date, and resolution. Issue a new revision and reset the affected checks. Do not overwrite the former record or call multiple files “final.”
When a correction affects company-wide copy or artwork, identify every related role and specialty proof. A local fix can otherwise leave another version outdated.
Separate proof approval from order approval
The proof approver confirms that the documented visual version matches its sources. The order owner separately confirms roster, sizes, quantities, destination, price, and current terms. One approval should not be treated as the other.
Use the painting crew ordering checklist for order reconciliation.
Final sign-off record
Capture approver, date, proof ID, artwork revision, business-copy revision, exact product association, front/back selection, approved variations, known unknowns, and corrections closed. Require a second reviewer for business copy and variation reconciliation.
After proof approval, compare current options in the PrintFrenz painting collection and recheck live product and order facts before submission.
